Residential property management combines constant communication, extensive documentation, deadlines and sensitive situations. Artificial Intelligence can reduce administrative work and make information easier to access, but it should act as support: decisions, facts and relationships with residents remain the responsibility of people.

This was the starting point for the AI Applied to Residential Property Management webinar. Rather than demonstrating isolated tools, we worked through tasks that are part of the daily routine of property managers and management companies.

Where can AI help with residential property management?

Communications with residents

An assistant can prepare the first draft of a notice, adapt a message to different levels of formality or make an explanation clearer. The manager must verify names, dates, amounts, resolutions and context before sending it.

A useful prompt includes:

  • recipient and context;
  • purpose of the communication;
  • confirmed facts;
  • expected action and deadline;
  • tone;
  • elements that cannot be changed.

Minutes and reports

AI can turn notes into an initial structure, group subjects and identify tasks. It must not decide what was approved or fill gaps. Always compare the draft with the original records and relevant requirements.

Document search

Tools such as Google NotebookLM or knowledge-base solutions can help locate information across regulations, contracts, manuals and minutes. The quality of the answer depends on the documents supplied, how current they are and the permissions applied.

Requests and complaints

Classifying messages by subject, urgency or building can help organise work. An automated response may confirm receipt and explain the next step, but conflict, safety or liability issues require human analysis.

Administrative automation

It is possible to route forms, create tasks, send reminders or update records between systems. Automate only after making the process explicit; otherwise, automation repeats existing failures faster.

An example of a responsible workflow

Imagine a report of water ingress:

  1. A form collects location, description and photographs.
  2. AI classifies the issue and extracts essential details.
  3. The system creates a task for the appropriate owner.
  4. A confirmation is sent with an estimated response time.
  5. A person validates the priority, supplier and next communication.
  6. The history remains attached to the case.

In this workflow, AI organises and accelerates. It does not determine the cause, liability or necessary intervention on its own.

Data protection and privacy

Property documents may contain names, contact details, unit numbers, outstanding amounts, images and other personal data. Before using an AI tool, establish:

  • which data is genuinely necessary;
  • where it is processed and for how long;
  • whether it is used to train models;
  • who can access it;
  • whether the contract and configuration are appropriate;
  • how information can be corrected or deleted.

Where possible, remove identifiers and test with fictional data. A free personal account should not be the default choice for sensitive professional information.

How to begin without creating more confusion

Choose a repetitive, low-risk task, such as turning non-sensitive notes into an action list. Document the current process, define an output template and test several examples. Measure time saved, corrections needed and situations in which the AI should stop and request intervention.

It can create a draft from supplied information, but someone who attended must verify resolutions, votes, amounts and the final wording.

Can I upload minutes and contracts to ChatGPT?

Only after assessing the data, your organisation's rules and the terms of the account being used. For sensitive information, choose a solution with appropriate access, retention and processing controls.

What should be automated first?

Frequent tasks based on clear rules and easy to review. Triage, field extraction, reminders and task creation are common examples.
