Power BI Mini-Course: from Excel to an Interactive Dashboard

A useful dashboard is not a collection of charts. It is a way to answer business questions quickly through organised data, clear measures and filters that help people explore what happened.

In this introductory Power BI mini-course, I show how to turn an Excel file into an interactive report. The exercise is designed for beginners and can be followed with the free Power BI Desktop application.

What will you learn in the mini-course?

The course covers the essential stages of a first project:

• import an Excel file;
• prepare the data with Power Query;
• remove unnecessary columns and correct inconsistencies;
• combine and split fields;
• create simple calculations such as total sales value;
• build cards, charts and filters;
• save the file and export the report.

More important than memorising buttons is understanding the sequence: question, data, preparation, calculation, visualisation and validation.

1. Start with the questions

Before opening Power BI, write down three to five questions that the report should answer. For example:

• What were total sales?
• Which product sold the most?
• How did sales change by month?
• Which region has the greatest variation?
• Which category is below target?

These questions prevent you from adding charts merely because they are available. Every visual should support a decision or conversation.

2. Prepare the Excel file

A good source table has:

• one row per record;
• unique and clear headers;
• dates recognised as dates;
• numbers stored as numeric values;
• consistently written categories;
• no manual totals in the middle of the data.

Avoid merged cells, multiple header rows and colours as the only way to represent meaning. Power BI needs structured data, not a sheet designed for printing.

3. Clean the data in Power Query

Power Query records each transformation. You can remove columns, change types, replace values, split a field or merge tables without altering the original file.

The course covers operations such as:

• combining first and last names;
• separating city and region;
• standardising empty values;
• correcting data types;
• removing information that will not be used.

Give the steps clear names. When the source file is updated, it will be easier to understand what happens and correct an error.

4. Create meaningful measures

A calculated column can determine the value of each row, such as quantity multiplied by price. A measure aggregates information in the context of filters, such as total sales or average spend per customer.

For a first dashboard, start with a small number of well-defined measures. Verify results with a manual calculation or pivot table before moving on to presentation.

5. Choose the right visual

• Cards: a primary value, such as total sales;
• Bars: comparison between categories;
• Lines: change over time;
• Tables: detail that people need to inspect;
• Slicers: important filters for the user.

Use titles that explain the question being answered. "Monthly sales" is more useful than "Line chart 1".

A checklist before sharing

1. Do the totals match the source?
2. Do dates, currencies and percentages use the correct format?
3. Do filters affect the expected visuals?
4. Is there a clear visual hierarchy?
5. Does the report remain legible on a smaller screen?
6. May the data be shared with that audience?

Exporting to PDF preserves a snapshot of the report but removes interactivity. For ongoing cloud collaboration and refreshes, assess the Power BI service terms and licences that apply to your case.

When analysis supports a decision, you can combine this process with the AI method for leaders.
